Do you need CRM for your business?

CRM systems are an abbreviation for the English words Customer Relationship Management, which translates as "Customer Relationship Management". Modern technologies allow you to automate the management process, take into account and calculate all transactions, the client base, their behavior and wishes.

Such systems are implemented by organizations, entrepreneurs and individuals working in business. The advantage of CRM is the structured nature of data. Outdated business process management models assumed paper accounting, storage in archives, etc.

The CRM system allows you to create a single client database, which displays transactions and the main features of specific clients. Any manager, even when dealing with a specific client for the first time, will know what and how to offer him.

Thanks to CRM, interaction with clients is more efficient. The system can also be used to store communication history: calls, messages, letters. The additional reminder function is especially convenient. The system reminds you when to contact the client and for what reason.

Who needs a CRM system?

CRM system is designed to increase the number of clients and increase their number. Almost any business that works directly with consumers, contractors, buyers and clients. If you want to increase the client base and increase the profitability of the business, CRM is needed.

A few examples from popular business areas:

- Beauty salon. With minimal expenditure of resources and employee working time, all clients who used the services of salon masters are recorded. With the help of CRM, discounts are calculated, the time of reminding the client about the visit, the procedures performed and much more.

- Call center. Regardless of the specifics, operators will see the client base, the content of previous dialogues. It is much easier for managers to track the quality of operators' work from call records.

Small retail and grocery stores, on the contrary, rarely use CRM systems. It makes no sense to take into account customer purchases if we are talking about a personal information base. Buyers in retail stores rarely call, order certain goods or leave contact details for employees.

CRM is a convenient tool for business that is quite simple to implement and use.

The main goals and objectives of CRM systems:

1. Convenient interaction with customers. All communication methods are combined into a network. Calls, text messages and basic information are stored in one system.

2. Increased conversion. The effectiveness of marketing activities increases if marketers see the history of communication, popular customer requests, products and services.

3. Increased sales. Managers can better control the sales surge and lead the client to the next deal.

4. Customer service. The modern consumer is spoiled by various marketing techniques, promotions, advertising messages, convenient service. If the company does not keep up with the times and offers the worst quality customer service, buyers will leave. Customers are pleased when managers know their preferences, previous deals and wishes in advance. It is also useful to leave timely reminders, notify about promotions and advantageous offers in text format without direct contact with managers.

5. Teamwork. In companies without a CRM system, managers often work differently. They communicate with customers differently, without any standard or script. CRM allows you to standardize the work of operators, adjust it to certain rules. Even if one of the employees cannot answer a customer's question, others can see the same request and help him.

6. Transparency and control. Not all employees are ready to perform their work qualitatively, sometimes controversial situations arise with customers. The system stores the history of interaction with customers. Tracking the quality of customer service and resolving controversial situations is greatly simplified.

Customer data and information are protected. If the manager resigns or competitors try to harm the organization, it will not be possible to access information from the system.

Types of CRM

There are 3 main types of CRM in sales:

- Operating systems. Designed directly to simplify interaction with customers, most often used in business. They build automatic storage, structuring, and provision of data to managers. Access to operators is granted by login and password, configured by management.

- Analytical systems. An improved version of operating systems with extended automatic functionality. In addition to collecting and storing information, these CRM systems can analyze it. For example, they can deduce patterns in customer behavior, suggest better strategies, and ways to increase conversion.

- Collaborative systems. Suitable for businesses where customer feedback is especially important. In collaborative CRM systems, the consumer can leave feedback, comments, and opinions about the product. It is easier for management and marketers to improve the product and increase sales.

There are also boxed and cloud versions of CRM. The boxed version is installed on the device, and the information is stored on the organization's media and servers. The cloud version is more reliable, thanks to data storage on cloud services. It is almost impossible to lose this information.

Ways to organize CRM

As mentioned above, work in a CRM system can be based on a boxed or cloud version.

There is a significant difference between the working functionality of the systems:

- Boxed version. Named for the form of release. It is delivered in a box with disks or flash drives on which the software is stored. The software is installed on the computers of employees and management, connected to the company's local network. Information about the system's operation is stored on the company's server. The advantage of boxed versions is that the data is better protected than in the cloud. Information does not leave the boundaries of the local network, it is more difficult to steal it. The disadvantage of boxed CRM is that the server's memory may not be enough to store all the information.

- Cloud version. The company does not need to install or configure the software, the information is stored on the developer's or distributor's servers.

It is easier and more convenient to use the cloud version. This will help save on the purchase of additional equipment, hiring system administrators, etc.

Do you need to develop a CRM for your business?

Some organizations prefer to develop their own CRM databases. Developing their own system allows them to create unique functionality and adjust the capabilities of the database to the needs of the business.

Developing their own CRM system:

- Provides functional benefits. The organization's management chooses what the system will be able to do and what tasks it will perform. Adjustments can be made to the functionality at any time. At the same time, the database is independent of third-party organizations and developers.

- It is expensive. For a small organization, investing in development will be too expensive or not pay off. The minimum cost of development will be 100 thousand rubles, while CRM with extended functionality can cost 1 million rubles or more. The technology also takes time. In addition to the initial writing of the system, it takes a long time to eliminate errors in the CRM operation.

In some companies, the technology seriously hits the budget and is frozen for a certain period. It is easier to acquire access to a ready-made CRM database, improve customer service, and increase business profitability.

How does the CRM system work?

The CRM program has a simple interface and management. The system is designed to simplify business operations. The functions and external shell are easy to manage and will not require long-term training of personnel.

Externally, the database resembles a Microsoft Excel spreadsheet, the main page contains a table with a list of all the company's clients. If you click on one of the records, a card with a description of the client's transactions and other features will appear. The cards store call records, correspondence history, concluded transactions or the stage of the sales funnel.

If the client calls the operator or managers independently call the numbers in the database, a personal card is displayed for each interlocutor. The manager can address the client by name, answer saved questions, view purchase history, etc. This increases the level of customer loyalty and facilitates the work of managers.

CRM will send customers messages, letters with information, changes in the terms of cooperation, personal offers or promotions. At the same time, managers do not need to be involved in mailing processes or spend working time.

What functionality should a CRM have?

The standard set of CRM system functionality includes:

- Customer accounting. The module stores all customers and the transactions they have made.

- Sales management. The module clearly displays the sales gap and the position of each transaction in it.

- Automation of the enterprise's work. The system independently handles mailings, saving part of the data in the database. Employees are freed up for a significant part of the working day.

- Analyses, reports, control. Depending on the type of CRM system, the program can analyze the work performed, compile a report, and display the results of managers' activities.

- Task sorting. The system will automatically distribute tasks between employees to optimize work.

Integration with other systems. CRM is implemented in telephony, SMS, and mailing programs.

- Flexible settings, a convenient interface. Ordinary managers will quickly understand the necessary functionality, and the organization's system administrators will be able to configure the program to meet business needs.

Different CRM databases may have different functions and modules. Managers can choose the best option: get rid of unnecessary functionality, add useful features, etc.
